A Work Location is a site or facility at which employees can perform their duties.
Using Work Locations is an optional feature and is turned OFF by default. It is FREE to use so if you wish it enabled simply get in touch with your ROSTERkey contact at Shiftwork Solutions.
Work Locations can be used in several different ways:
- A Worker can be assigned to a Work Location on every shift by default.
- A Shift Definition can have a default Work Location attributed to it.
- A pattern can be set up so that Workers rotate through various Work Locations on a regular basis.
- Modifications to the published roster can be made to override or cancel Work Locations already assigned for particular shifts.
A Work Location is assigned to a Worker from the above list in priority order, from 1 (lowest priority) to 4. For example, if a Worker has a default Work Location (item 1) but then is on a shift that has a default Work Location (item 2), then the Work Location assigned to the shift will override the Worker's default location, for that shift only. If, also, that Worker was part of a Location Pattern (item 3) then the Work Location from the pattern would override the other two. And then finally, a Manager could override all those on a case by case basis by performing a "Change Rostered Shift" on the Roster Administration screen.
To create Work Locations use the standard Configuration processes from the Configuration -> System -> Location page.
A Work Location has the following details:
Name | Mandatory and must be unique. |
Code | Mandatory and must be unique. |
Colour | Optional. Select from the list or use a Colour Picker to create your own. Just paste any HEX colour value into the field. |
Active Periods | You must have at least one entry in this table. However, it can indicate that the Work Location is not currently active. Work Locations will not be shown for use for dates on which they are not active. |
Departments | If you are running a multi-department operation then another table will be shown that allows you to share locations between selected Departments. If you enter nothing in this table then a Work Locations will be shared to all Departments. |
Assigning a default Work Location to a Worker (item 1):
Use the Operator Movement function to assign a default Work Location to a Worker.
Assigning a default Work Location to a Shift (item 2):
Use the Creating a Shift Definition function to assign a Work Location to a Shift that will then be associated with a Worker when that Worker is on the Shift.
Assigning a Work Location by pattern (item 3):
Set up Location Pattern Definitions using the Assigning Work Locations by pattern process. Assign Workers to the pattern by moving them into a Location Pattern Group with the Operator Movement process.
Assign/Change a Work Location - ad-hoc (item 4):
Use the How To: Change a Rostered Shift process to assign an ad-hoc Work Location to a Worker on a particular day or change/remove the already assigned Location.
