There are features within ROSTERkey that some organisations will use and some won't. To avoid screen clutter and feature overload when they are not used, they can be turned off. These are all FREE optional features but do require a system level configuration to either enable or disable them. If there are any in the list below that you wish to use or remove, please contact your ROSTERkey support representative.
Feature | Default Setting | Details |
Worker initiated - ADO Request | enabled | A Worker is able to create an Accrued Day Off (ADO) Request on the Work Roster page. |
Worker initiated - Leave Request | enabled | A Worker is able to create a Leave Request on the Work Roster page. |
Worker initiated - Swap Request | enabled | A Worker is able to create a Shift Swap Request on the Work Roster page. |
Worker Initiated - Unavailable for Overtime | enabled | A Worker is able to set days on which they are un-available for overtime. When a Worker sets this, the system will not offer that Worker as a candidate for overtime on those days. |
Worker initiated - set actual Role | enabled | Workers are generally assigned to a role on a shift by one or more of several different mechanisms in ROSTERkey. This feature enables a Worker to set the Role they performed on a shift, overriding what the system may have assigned. |
Worker initiated - create Training record | enabled | Workers are able to create their own Training records for training they may have undertaken. |
Rovers | enabled | The Rover feature allows the system to use multi-skilled personnel to fill skill shortages on a shift. |
Rovers - auto assign | enabled | When using the "Assign Rovers" function, the system can automatically assign any rovers to a vacant position or display them for manual selection. |
Rovers - display in Role group | enabled | When a Rover is assigned to a Role, they will show in the newly assigned Role group for that shift, on the Roster Administration page. Otherwise they will show in the Rover group. |
Email - administration address | blank | The email address to be used as the default "reply to" when the "reply to initiator" is not enabled. |
Email - reply to initiator | enabled | Emails sent by the system to Workers, e.g. for shift change notifications, will have the email address of the Manager who created the change as the "reply to" in the email. Otherwise the default administration email will be used, if present. |
Work Roster - allow export | disabled | Allow the export of the Work Roster to Excel spreadsheet format. |
Work Roster - show leave balances | disabled | Show Worker's leave balances on the Work Roster page, similar to those on the Roster Administration page. |
Work Roster - show logged in worker only | disabled | By default, the Work Roster page will show all Workers. This can be configured to only show the currently logged in Worker. |
Role Patterns | disabled | Role Patterns allows setting up a pattern, similar to a Roster Definition, through which Workers can cycle, to give them different Roles on a scheduled basis. |
Work Locations | disabled | Allow different locations to be created to which Workers can be assigned by default, by shift, or adhoc. (read more here) |
Work Location Patterns | disabled | Work Locations can be assigned on a scheduled pattern basis. |
Worker Attachments | disabled | Allow the uploading of attachments, e.g. .pdf, .csv, .png files, to Worker records. For example, sick leave medical certificates. (read more here) |
Leave Balance - import historical values | disabled | Allows the importing of Leave Balances that may be before the current "Editable From" date. |
Leave Balance Report | Administrators only | The Leave Balance Report can be disabled completely, available to Administrators only, available to Managers only, or available to both Administrators and Managers. |
Overtime Paid Out | true | Overtime can be set as paid out (integrated with payroll) or not (accumulates the Worked Hours Balance for Accrued Days Off). |
Shift Colours | false | When false, the colours for shifts on the Roster view pages will use the colours for the type of hours on the shift, as defined in the Configuration -> System -> Colour configuration. When true, the colours from the Shift Definitions will be used. |
Cancelled Shift display | HIDE | When a Shift is cancelled for a Worker, its details will be hidden in the Roster Administration page. Otherwise, the Shift Code can still be displayed but with a "strikethrough" effect. |
Time and Attendance | disabled | Reconciliation of time and attendance data can be enabled or disabled. |
Payroll - merge Departments | disabled | Data reconciled and sent to an external payroll system can be done individually by Department or have all Departments merged in one process. |
Overtime notes mandatory | false | It is possible to configure the system so that a note entry is mandatory when creating an overtime record. |
Availability Rostering | disabled | Availability Rostering and Job Allocation is possible within ROSTERkey. |
Assign Swing Patterns | disabled | Allows assigning an entire pattern to a series of shifts in the Roster Administration page, e.g. change a set of shifts for a Worker from "D, D, D, N, N, -, -" to "N, N, -, -, D, D, D" with one process, rather than 7. |
Shift View | disabled | Allow a "by Shift" grouping in the Roster Administration page. This lists Shifts down the left column rather than Workers, dates across the columns and then Workers on a Shift on a day in the cells. |
